⏱️ Logging Time Entries in the Field
Technicians can log and track time in multiple ways within the mobile app—using a clock-in/clock-out workflow, manually at the job level, or manually in the Technician Portal.
Before logging any time, Time Entry Rates must be configured in the backend by an admin.
🔗 How to Setup Time Entry Rates
If new rates are added in the backend, technicians should log out and back into the app to sync the updated options.
Time entries are tied to Inspections and Work Orders, and rates must be configured for each job type, including Travel (if applicable).
An optional Other rate can also be configured in the backend, allowing technicians to track time not tied to a job—this is available when logging time through the Technician Portal.
This article walks through all available methods to log and track time in the field.
⌚ Method 1: Record Time (Clock In / Clock Out)
Use Record Time to track time in a clock-in style workflow. The timer begins when you tap Record Time and must be stopped before submitting the job back to the office.
How to Start Recording Time
You can access the Record Time option from two areas in the app:
-
From the Home or Schedule tab:
- Tap the job
- Tap the ellipses (⋯)
- Select Record Time
-
From the Jobs tab:
- Tap the job
- Tap the clock icon
Once on the Record Time screen
- Select the Activity Type (Work or Travel)
- Select the Rate
- Only rates applicable to the job type (Inspection or Work Order) will appear
- Tap the green Start button to start the timer
- Tap the back arrow to return to the job
How to Tell Time Is Running
- On the Jobs tab, the clock icon turns green
- On the Home and Schedule tabs, you’ll see the timer running directly on the job card
- Inside the job, the Time Entry details will display at the top
Stopping the Timer
You can stop time in two ways:
-
Manually stop at the job level
- Tap the clock icon and hit the red End button.
-
Tap to Review the job
- When you tap Review, a pop-up will warn you that the timer is still running. You must stop the timer before you can proceed.
⏰ Optional: Enable Time Entry Reminders
If you prefer a prompt when starting your jobs, you can enable time entry reminders.
- Tap your tech icon (photo or initials)
- Tap Settings
- Toggle Enable Time Entry Reminders
- Tap Save
When Enabled:
- Each time you start a job, a pop-up asks if you’d like to start the timer
- Tap Yes and the Record Time modal will pop-up where you can select activity type and rate, then begin recording time
- Tap No if you plan to enter time manually
- This reminder only appears if you’re not already tracking time
⏳ Method 2: Manually Adding Time at the Job Level
When you start an Inspection or Work Order, a Time Entry section appears at the top of the job. This allows you to manually log your time without using the clock-in feature.
How to Add a Manual Time Entry
Start the job
Tap + Add Time Entry
Choose the Activity Type (Work or Travel)
-
Select the Rate
Only rates configured for the job type (Inspection or Work Order) will appear
Enter the Start Time and End Time
(Optional) Add any Notes
Tap Save
What Happens After Submission
Once the job is submitted to the backend, the time entry will appear on the corresponding Inspection or Work Order record for office review.
📲 Method 3: Logging Time in the Technician Portal
Technicians can also log time directly from the Technician Portal using the Time Sheet tab. This method is ideal for adding time after the fact or recording Other time that isn’t tied to a specific job (if configured).
How to Log Time in the Technician Portal
Navigate to the Time Sheet tab.
Select the day you want to log time for.
Click + Add Entry.
-
Choose the assignment (Inspection or Work Order) you are logging time against.
If your account has Other time entry rates configured, you will also see an Other option for logging non-job-related time.
Enter your start and end times.
Select the appropriate Time Entry Rate.
(Optional) Add notes for additional detail.
Click Save.
How Entries Sync
All entries logged in the Technician Portal sync to the backend, where office administrators can review and report on technician time.
