Inspect Point’s Visit Reminders feature allows you to enable automatic reminder emails for scheduled work orders or inspection visits.
How Visit Reminders Work
When turned on and set up (which is described below) visit reminders will be sent to the scheduling contact of an account or building, for all inspection or work order visits in the “scheduled” status. You can customize when to send the reminders; see below for more details on set-up.
Note: This means you must assign a contact the “scheduling” role in order for them to receive visit reminders. Here is more information about assigning roles.
A contact who is associated with an account and has the “scheduling” role enabled will receive reminders for all buildings within that account. If a contact is NOT associated with an account but only with an individual building, by default they will receive the visit reminders for the building.
How to Turn On Visit Reminders
In Settings → Company → Visit Reminders, you can click to enable Visit Reminders. Then, add as many reminders as you would like. You can choose to send reminders for a certain number of days before or after the date of the visit.
You can use the recommended default text, or customize your own message. You can use the following tags to display the following information:
- {{contact_name}} - Name of scheduling contact
- {{visit_type}} - Visit type, e.g. inspection or service visit
- {{company_name}} - Your company name
- {{building_name}} - Name of building
- {{technician_name}} - Name of technician
- {{technician_photo}} - Photo of technician, if one has been added
- {{visit_details}} - Link to Visit Detail page
- {{email}} - Your company email
- {{phone_number}} - Your company phone number
Note that the visit reminder email will link to a visit detail page that includes pertinent information about the visit.
Disabling Reminders
You have the ability to turn reminders OFF for a specific account or building. When visit reminders are turned off for an account, by default they will be off for ALL buildings within that account. You can disable visit reminders by clicking into that account or building, then checking off the “Disable Visit Reminders” checkbox.
Building Reminders
Prior to introducing Visit Reminders, Inspect Point offered a feature called “Building Reminders” which functioned similarly for inspections but did not include the ability to adjust the email content, or send for work orders. If you are using Building Reminders, once you turn Visit Reminders on, Building Reminders will turn OFF so that your customers do not receive duplicate emails.
