Technician time off can be used to track when a technician is unavailable to work, to help you schedule inspections and service visits.
You can view, add, edit, and delete technician time off entries on the “Technician Time Off” page in the “Company” category on your Settings page.
Technician time off appears on the Calendar and Scheduler, and can be added or imported by a back-end office user. Currently, Inspect Point does not support technicians submitting time off requests themselves.
Where to Find Technician Time Off Functionality
How to Add Technician Time Off
On the Settings page, in the “Company” category, click on Technician Time Off.
To add a time off entry, click the “Add” button on this page. This will open a modal, in which you can:
- Select technician name
- Select a time off type (Note, your time off type is optional, and can be customized to fit your needs. Just press the green “+” button to add a type of time off: for example, ‘Vacation Day,’ ‘Sick Day,’ ‘Training,’ etc.)
- Select a start date for technician’s time off
- Select an end date for the technician’s time
- Choose a specific time the technician will be out (Or, leave as is to indicate the technician will be out all day)
- Add notes
Then, press save to add the time off entry.
Importing Time Off
If you have time off entries you would like to import from another application, that can be done by clicking the “Import” button. Review the sample .CSV to see how the spreadsheet you are importing should be formatted.
Viewing Technician Time Off
Once a time off entry has been added or imported, it will appear in the table on the Technician Time Off page. This table will display:
- Technician name
- Type of time off
- Date range
- Time range
- Notes
Editing / Deleting Entries
In the Actions column, you can click edit to edit a time off entry, or delete to delete it.
You can delete multiple time off entries at a time by checking the checkbox in the first column and clicking “Delete Selected.”
Filtering Technician Time Off
Check off “Exclude past dates” if you would like to see only present and future dates in the table. You can filter to see only time off entries related to a specific technician, or a technician team.
Exporting Technician Time Off
You can export either technician time off, by clicking the “Export” button.
Calendar
Technician time off will display on the Calendar in the same color as other events assigned to that technician. You will see “[Technician Name] Unavailable” when the technician is off. You can hover over the entry to see the type of time off, and notes.
To edit a time off entry from the Calendar, you must click it which will open the “Edit” view. Note that unlike inspections and work orders, time off entries cannot be rescheduled by dragging and dropping.
The time off entry display on the Calendar is meant to support your scheduling process by informing you when a technician is available, or unavailable, to work. However, you can still schedule work when a technician is out if you wish.
Scheduler
Technician time off will display on the Scheduler just like work assigned to a technician. You can hover to view details, or click to edit the entry.
