Best Practices for Setting Up Technicians
When adding technicians to your instance, keep the following recommendations in mind:
-
Use a consistent username format
- Maintain a standard format across all technician usernames to simplify user management.
- Username Format Example: Technician’s first initial + last name (e.g., bsmith for Bob Smith).
-
Password setup and reset options
- Passwords are created during technician setup.
- If a technician forgets their password:
- They can reset it in the field, as long as an email address is associated with their technician profile.
- If no email is associated, a backend admin user can reset the password from the Technician Detail Screen in Settings.
- Admins do not need to know the current password to reset it.
-
Locked fields after creation
- Once a technician is created, the following fields cannot be edited by backend users:
- Name, Username, Technician Type
- If updates are needed, please contact your Customer Success Manager for assistance.

Maximum Number of Technicians Reached?
If you receive the following message when trying to create a new technician, it means you’ve reached your maximum number of technicians based on your subscription.
- To increase the number of technician licenses in your subscription, contact your Customer Success Manager, and they will assist in the adjustment and make it so you can add the technician(s).
- If one of the active technicians is no longer needed, you can inactivate them on the technician detail screen, and doing this will free up a technician license.
- ⚠️ Once a technician is marked Inactive, backend users cannot reactivate them. Only your Customer Success Manager can do so.
