California Title 19 AES forms are not assigned at the building level. Instead, these state-issued forms are selected when creating an inspection or inspection series. This ensures the correct AES form appears for the technician in the field.

Steps to Create an Inspection or Series with AES Forms

Navigate to the Building
Go to the Building > Inspections tab and click Create New Inspection. -
Choose Inspection Type
Select whether this will be a One-Time Inspection or an Inspection Series. -
Fill in Inspection Details
Complete the required fields for the inspection or series. -
Add External AES Form(s)
Scroll down to the External Form section:- Click Add External Form to this Visit
- Choose the appropriate AES form from the list
- Give the form a name/label (e.g., âWet Chem Annual - Kitchen Hoodâ)
- Repeat this step for any additional AES forms needed
- Click Save
- If creating a one-time inspection, click Save to finish
If Creating a Series
- Click Next after selecting your AES forms

Set Frequencies
- Select all applicable frequencies (e.g., Quarterly and Annual)
- Click Next

Select the Month

Choose which month the inspection should occur for each frequency appliedÂ

- Preview & Create
- Review the series details, then click Create.
- This setup will generate the inspections based on the end date, frequencies and months selected.Â
What Happens Next?
Once the series is created, a batch of Pending inspections will be generated for the building. These can be scheduled as the due dates approach.
Each inspection will have the selected AES form(s) attached and ready for the technician to complete in the field.

External Form Frequency
Admins the ability to configure frequencies on external forms. This means that once a frequency is set for a form, every series that contains that form will be updated automatically, and any new inspection series will take these frequencies into account when creating individual inspections.
The default frequency is âallâ. All external forms will be set to âallâ unless the users go in and manually update these forms.
