An integral workflow in Inspect Point is the inspection series. This feature allows you to create recurring inspections for multiple inspection items and frequencies, saving you valuable time.
To learn how to create an inspection series, click here. Moreover, inspection series are not enabled by default. To turn on this feature, contact your CSM.
This article explains how to update series-related settings, view important information, and manage series and their individual inspections - including extending series and canceling inspections.
Inspection Series Settings
To navigate to your Inspection Series settings, go to Company Settings → Other. Here, you will find the Auto-Extend Inspection Series flag.
By default, all series will expire after five years. However, with this setting turned on, all series will automatically extend another five years when they approach their expiration date.
Important Note: Extension is based off the original series, as it was first created. Changes made to inspections within a series after it was created will be erased once the series auto-extends.
The Inspection Series Listing Screen
After an inspection series has been created, it will be displayed in the Inspection Series Listing screen. To access this screen, click the three dots next to the Inspections tab. This will reveal the Inspection Series tab.
The Inspection Series Listing screen displays information about the series as a whole. The following information can be found here:
- Series ID
- Building
- Frequencies on the series
- Expiration Date
- All Systems & Assets being inspected
- The total number of inspections completed and pending for the series
- Series Status
Actions for each series are contained on the far-right side of the screen under the three dots. Here, you can view series details, extend, or cancel the series.
View Detail will bring you to the Series Detail page. This will be explored later in the article.
Clicking Cancel will open a modal asking you to confirm whether or not you want to cancel this series. Doing so will cancel all pending and scheduled inspections in the series.
Once canceled, a green success message will display at the top of the screen, indicating the series has been canceled.
This will also be reflected in the series’ status.
Clicking the Extend button opens a modal where you can extend the length of the series. The modal defaults to extending the series by five years, but this can be changed. Values entered must be between 1 and 10 years.
The new expiration date is also shown here, and will dynamically adjust based on the number of years entered.
Once extended, you will see another green message at the top of the screen.
Additionally, the new expiration date will be reflected in the listing screen grid.
You can also bulk extend multiple series at once from the Inspection Series Listing screen. To do so, click the checkbox next to the desired series, and click the Bulk Extend button.
This will open a modal similar to the previous Extend feature. Note: no expiration date will display here, because there are multiple expiration dates being changed.
Once extended, you will see the same green success message, and all series’ expiration dates will be adjusted in the listing grid.
Inspection Series Detail Screen
The Inspection Series Listing screen is a great tool to see all your series in one place, but to drill in on a specific series and its accompanying inspections, you’ll use the Inspection Series Detail screen.
To access this screen, either click on the Series ID or the View action on the Series Listing screen.
On the Series Detail screen, you’ll see attributes and quick actions related to this series. Attributes listed are:
- Reference Number
- Frequencies being inspected on the series
- Building
- Address
- Account
- Status (with ability to update)
- Auto-Extend (with ability to turn on or off)
- Created Date
- Expiration Date (with ability to extend)
Changing the status and expiration date here will open the Cancel and Extend modals previously covered in the article.
You may also override the Auto-Extend Inspection Series flag set in Company Settings. For example, if turned off in Company Settings and turned on for a series, only that particular series will auto-extend.
To do so, click the (change) button next to Auto-Extend Series. You will see the status change from Enabled to Disabled, or vice versa, and a green success message display at the top of the screen.
Quick Actions are located under the “Manage” button on the right side of the screen. Opening this dropdown lets you extend and cancel the series as previously discussed.
Moving down the Series Detail screen, filters for date, status, and technician can be found.
You will also see a list of all inspections created for this series, with bulk actions to:
- Update Status
- Generate Report
- Update Technician
- Export CSV
- Export XML
Additionally, you’ll notice a symbol in the Scheduled Date column. This denotes if the inspection is part of a series or not. Clicking this icon brings you to the Inspection Series Detail screen.
