đź•“ Schedule the Inspection
In order for an inspection to get to a technician in the field, the inspection must be in the Scheduled status, the Scheduled Date needs to be within 2 weeks, and a technician must be selected. The scheduling options outlined below give you the flexibility to develop a workflow that fits your needs:
There are several ways to move the inspection from Pending to Scheduled:
- Inspection Detail Screen
- Inspections tab
- Calendar tab
- Schedule & Dispatch tab
đź“‹ Scheduling from the Inspection Detail Screen
-
Click the Inspection Status dropdown on the Inspection Detail Screen
- Click the Status dropdown.
- Select Scheduled, then click Update.
- If your inspection is part of an Inspection Series, you will be presented the following options:
- Update Status for this Inspection only - option only schedules the individual inspection (Typically this is the option selected)
- Update Status for all pending FREQUENCY Inspections - This option changes all of the pending inspections within that series that have the same frequency to Scheduled
- Update status for all pending Inspections - This option changes all of the inspections within the series to Scheduled
- If your inspection is part of an Inspection Series, you will be presented the following options:
đź“… From the Calendar ViewÂ
- Navigate to the Calendar.
- Locate and click the inspection to open the quick-edit modal.
- Open the Status dropdown.
- Select Scheduled, then click Save.
đźšš Schedule & Dispatch Tab
You can schedule inspections directly from the Schedule & Dispatch tab in a few ways:
- From the Visits column — Click on a visit in the Visits column. A modal will appear where you can update the status to Scheduled.
- Drag and Drop — Drag a visit from the Visits column down to the Dispatch section. The status will automatically change to Scheduled, in addition to assigning it the technician's schedule it was placed on.Â
đź’ˇ Tips:Â
- If you prefer visits not to automatically change to Scheduled when dragged, click the Settings icon on this page. There’s a toggle that lets you keep the visit’s current status instead (for example, a Pending visit will remain Pending when dragged).
- You can also customize this view. Disable the Map View by unchecking the option in Settings and use the screen purely as a Dispatch Board, dragging visits to assign them as needed.Â
⚠️ Important — When the Set to”Scheduled" when assigned setting is enabled, dragging a visit to the Dispatch section will change its status to Scheduled. If disabled, the visit will retain its current status.
đź“‹ From the Inspections Tab
- Go to the Inspections tab and locate the inspection
- Tip, use the filtering options to sort the inspections
- Schedule one of two ways from this screen:
- Click Pending in the Status column, select Scheduled from the dropdown.
-
Use the checkboxes on the left side. Click Update, change the Status to Scheduled, and click Save.
đź’ˇ Tip:Â You can schedule multiple inspections at once by selecting multiple checkboxes before updating.
-
⚠️ Important: When updating multiple inspections at once, you can modify the Technician, Scheduled Date, and Status fields. If you’re only scheduling the inspections and don’t want to change any other details, leave the other fields in the Value column blank and update only the Status.
