Overview:
This article is an overview of Inspect Point's integration with IROL. We will review how to establish and utilize the integration. It covers the process of enabling the integration, linking technicians and buildings, and submitting reports to IROL.
Connecting to IROL:
- Once the integration has been enabled in your Inspect Point instance, navigate to your settings and under the 'Integrations' section, select 'IROL'.
- Enter the appropriate username and password for the IROL account and click “Setup Connection”.
- Once you log-in, you can reference this page to check your connection status. (Note, IROL integration uses an OAuth based token. It refreshes the token regularly and users should not have to refresh the session, but it allows you to refresh it if needed. If for any reason the Connection Status is “Bad”, there is also the option to remove the session for relinking.)
- Setting a Default Alert Email sends all IROL submission receipts to that email. Otherwise, submission receipt emails will be sent to the user who submitted it.
- Some customers will have multiple Service Providers attached to the account used to sign in. By default, the first attached Service Provider is selected. To change this, users can select the “change” button in the Service Provider section.
Linking Technicians to IROL Inspectors:
After setting up the integration, connect your Inspect Point technicians to your IROL inspectors.
Settings > Technicians > Username > Link to IROL Inspector
This can be done during setup or when submitting a report to IROL
Linking a Building in Inspect Point to a Premise in IROL:
Now that you’re connected, your next step is to link an Inspect Point building to an IROL building:
- Navigate to the building you intend to link.
- In the IROL Status section, click Link IROL Premise.
- A window will appear, in which you can search various fields to find the premise.
- Address is required for the search
- Under Actions, click “Link” to link your Inspect Point building to the equivalent IROL premise. You can unlink at any point if needed. Now, any report on an inspection associated with this linked building can be sent to IROL.
Submitting Reports to IROL:
With the integration set up and buildings and technicians linked, you can start submitting reports to IROL.
- Navigate to the inspection detail screen tab and generate a report
- An inspection report must be generated in Inspect Point before submission, you will not be able to submit a report to IROL until then.
In the action bar, click Compliance, then Push to IROL
- Complete the steps outlined in the pop-up window
- Link Inspector - This step will appear if the technician already linked in your Settings
- Report Template - Then select the system type. This list will populate from IROL. Inspect Point will make a suggestion, which you can edit as needed. You will also need to select from one of the IROL frequencies. Finally, the service date will pre-populate from the inspection date but can also be edited if needed. Click “Next.”
- Report Submission - Press “Done” on Step 3. After a few moments, you will see the inspection detail page update to reflect your submission.
Tracking Submissions:
You can view the submission details, status, and any error messages in the 'Compliance Submissions' section of the Inspection Details screen.
- This provides a reference of previous submissions: the date/time, status and IROL report ID. “Message” will display any error messages or issues on the IROL side.
Deficiencies:
When submitting an inspection to IROL, deficiencies are sent with it. There are three statuses (each with an associated “tag color”) that deficiencies can be in:
- Impairment (Yellow Tag) - Inspect Point deficiencies with status Impairment, Not Critical, and No Status send over to IROL as this type
- Critical Impairment (Red Tag) - Inspect Point deficiencies with status Critical send over to IROL as this type
- Cleared Impairment (Blue Tag) - When a deficiency is resolved in Inspect Point, any associated deficiencies in IROL are updated to this type
IMPORTANT - If an IROL deficiency was created by Inspect Point and cleared in IROL’s UI, Inspect Point’s copy of the deficiency will be updated to resolved. This is dependent on the inspection being sent from Inspect Point to IROL, and won’t work with deficiencies created in the IROL UI.
