🔧 Overview
The Parts Requested feature allows technicians to request materials and services during inspections and work orders without automatically creating a draft proposal.
By default, when a technician marked materials or services as proposed in the Inspect Point mobile app, a draft proposal was automatically created in the backend. With Parts Requested enabled, these items are instead submitted as requests for office review.
This gives the office team the flexibility to determine whether the requested items require a formal customer proposal or can be handled without one.
Requests stay out of:
- The Proposals list
- Proposal dashboard totals and status counts
- The draft proposal report and draft exports
- The customer portal
Your Proposals list and draft report show only the quotes you plan to send. Small items your team will just replace don't need any follow-up.
✅ Before You Begin
Proposal Requests are off by default, so your account works the way it does today until the setting is turned on. To turn it on, contact your Customer Success Manager or Inspect Point Support.
Proposal Requests work with both inspections and work orders and reach the office when the technician sends the visit back for review.
📱 Requesting Parts & Services in the Mobile App
Technicians can continue using the existing workflow to identify materials or services needed during an inspection or service visit.
- Open the inspection or work order in the Inspect Point mobile app.
- Click the + Add Materials & Services option.
- Locate at tap the item(s) and select Proposed.
- Save the selected items.
- Complete the visit and submit it for office review as usual.
With Parts Requested enabled, these items are saved as a Parts Requested entry rather than automatically generating a draft proposal.
💻 Reviewing Parts Requested in the Backend
Proposal Requests show up when you review the inspection or work order, in the materials and services area.
You have two choices:
Leave it as is. If it's a small part your team will just replace, do nothing. The request stays out of your proposal lists and reports, and Inspect Point doesn't create an inventory record or a parts order.
Convert it to a proposal. Use this when the item is worth quoting to the customer.
- Open the inspection or work order that's waiting for review.
- Find the Proposal Request in the Related section.
- Click Convert to Proposal.
- Confirm the conversion.
- Check the line items to keep and uncheck any to leave off.
- Edit the proposal as needed.
- Confirm.
The request becomes a regular draft proposal with the same items, so nobody re-enters anything. It now appears in the Proposals list, the dashboard, and the draft report, and you can send it to the customer like any other proposal. The conversion is recorded in the proposal's status history.
