π§Ύ What Are Work Orders?
Work Orders are service jobs dispatched to technicians. These can include:
- Quoted repairs to resolve deficiencies
- Emergency or after-hours services
- Any work that falls outside the scope of an inspection
Unlike inspections, Work Orders are not recurring and do not include inspection questions. Theyβre designed to capture service activity, materials used, and time spent β keeping all repair and service work organized within Inspect Point.
π What You Can Do with Work Orders
With Work Orders, you can:
- Create and manage service jobs
- Schedule and dispatch technician visits
- Log time, materials, and services used in the field
- Review, complete, and invoice Work Orders
- Track follow-ups and additional repairs
π₯ Who Uses Work Orders
Work Orders are available for Platinum customers.
This feature is ideal for companies offering repair, service, or emergency work β giving both office and field teams the ability to manage the entire service process in one place.
π§° How Work Orders Function in Inspect Point
Work Orders can be created and managed from the backend, or β if enabled β in the field by technicians for on-the-spot or emergency visits.
Deficiency Resolution Workflow (Backend):
- A deficiency is flagged during an inspection.
- The inspection is converted to Proposal with the linked deficiency.
- Once the proposal is accepted, it can be converted into a Work Order and scheduled to a technician.
- The technician resolved the deficiency, completes the work, logs materials and services, and submits.
- Those deficiencies are marked as resolved, and the Work Order can then be converted directly into an Invoice.
Emergency Visit Workflow (Mobile App):
- A customer calls and says their pipe just burst and they need you to fix it asap.
- Open the mobile app, and create a new Work Order with the service and problem description that your customer gave.
- Once saved, tap into the visit to start the job.
- Add a problem and service description, log the materials and services used along with detailed notes of the work performed and your time entry.
- Submit the work order.
- From the backend, users can review submissions, schedule follow-ups, or close out the Work Order by generating a Service Report and Invoice.
Technicians can also document work completed during inspections, ensuring all service activity β whether planned or discovered β is captured and trackable.
π How Work Orders Connect with Other Features
Work Orders seamlessly tie into other areas of Inspect Point to create a full inspection-to-collection workflow:
- Inspections β Proposals β Work Orders β Invoices
This connected process keeps your data consistent and ensures every step β from inspection findings to billing β stays within Inspect Point.
βοΈ Work Order Settings
Administrators can customize how Work Orders function by configuring:
- Custom Statuses β Define the stages of your Work Order lifecycle (e.g., Waiting for Parts, Service Coordinator Review).
- Work Types β Categorize jobs by type (e.g., Deficiency Repair, Emergency Service, Battery Install.).
These settings help align Work Orders with your companyβs internal workflows and reporting needs.
