📋 Overview
Automatic Work Order Workflows help your team track the progress of service work by automatically updating work order and visit statuses as technicians complete work in the field.
When enabled, service visits move to Waiting for Review instead of directly to Completed, giving your office team an opportunity to review the work and complete any necessary follow-up before closing out the visit.
This is especially helpful for service work that may require additional steps, such as ordering parts, scheduling return visits, or assigning additional technicians.
With this workflow on:
- A work order automatically moves from Open to Started when a technician begins a visit.
- When a technician completes a service visit in the field, the visit moves to Waiting for Review instead of Completed.
- The associated work order is also moved to Waiting for Review after each completed service visit, even if additional visits are scheduled.
- Inspection workflows remain unchanged.
⚙️ How to Enable Automatic Work Order Workflows
Automatic workflows are enabled by default for new Inspect Point accounts as of November 2026. Existing accounts can enable the feature from their backend settings.
- From the backend, navigate to Settings → Service → Work Order Statuses.
- Locate the Automatic work order workflows are off banner at the top of the page.
- Click Enable automatic workflows.
Once enabled, a success message will appear, and the banner will disappear.
Inspect Point will automatically add the following statuses if they do not already exist:
- Started — Work Order Status
- Waiting for Review — Visit Status
The Started status will also appear in your Work Order Statuses table.
🔄 Understanding Automatic Status Changes
Each step in a service visit now updates both the visit and its associated work order, so the back office can easily see where the job stands.
| Action | Visit Status | Work Order Status |
|---|---|---|
| Service visit is scheduled | Scheduled | Open |
| Technician starts the visit | Started | Started |
| Technician completes the visit | Waiting for Review | Waiting for Review |
| Office reviews and completes the visit | Completed | Updated by office |
Multiple Visits on a Work Order
On a work order with multiple visits, the work order is flagged for review each time a visit is completed. This means one work order can enter Waiting for Review more than once, so parts and return trips are caught at the visit where they came up.
The Started work order status only applies to work orders that are currently Open. A work order that is already in Requires Follow-up or Waiting for Review keeps that status when another visit starts.
🔍 Reviewing Service Visits
Once a technician completes a service visit, the visit moves to Waiting for Review, allowing the back office team to review the completed work before marking it as Completed.
Locating Visits Waiting for Review
You can locate service visits awaiting review by filtering the Work Orders List or Calendar by the Waiting for Review visit status.
You can also open an individual work order and review the status of each visit in the Visits table.
Completing a Service Visit After Review
- Open the work order and locate the Visits table.
- Select the visit you want to review.
- Review the completed work and address any necessary follow-up.
- Change the visit status from Waiting for Review to Completed.
- Save your changes.
- Update the work order status as needed.
💡 Tip: If a completed visit requires additional review, you can reopen the visit and manually change its status back to Waiting for Review.
💡 Additional Information
- Follow-up notes take priority. If a technician marks a follow-up when completing a visit, the visit still goes to Waiting for Review, but the work order goes to Requires Follow-up instead.
- Colors match your inspections. The service Waiting for Review status uses the same color your account uses for the inspection Waiting for Review status. If you change that inspection color, service visits follow it.
- Technicians are done once they complete. In the mobile app, the visit moves to Jobs Completed. Technicians can still add notes, but cannot change the visit status from the field.
- Closing from the office is unchanged. Closing a work order from the office, including bulk close, still sets its visits to Completed.
- Inspections are not affected. Inspection visits, statuses, and workflows work exactly as before.
