If your company uses Automatic Sales Tax in QuickBooks Online, Inspect Point will respect that setting and calculate tax based on QuickBooks — not based on tax rules inside Inspect Point.
This article explains how the integration works and what you can expect to see on invoices.
⚙️ How Automatic Sales Tax Works
When enabled, Inspect Point defers tax calculations to QuickBooks Online's Automated Sales Tax (AST) system.
This means:
- Tax is calculated based on the customer's location in QuickBooks
- The correct local tax rate is automatically applied
- Inspect Point does not override or manually calculate the tax rate
- Invoice totals will match between Inspect Point and QuickBooks
🔧 Required Setup
To use QuickBooks Automatic Sales Tax with Inspect Point:
Step 1: Configure the Customer in QuickBooks Online
Inside QuickBooks Online:
- Create or edit the customer
- In the Tax Rate section, ensure it is set to:
- Automated Sales Tax (based on location)
Step 2: Enable Automatic Sales Tax in Inspect Point
Inside Inspect Point:
- Go to Settings > Integrations > QuickBooks Online
- Toggle on Use Automatic Sales Tax
This will automatically save. This setting ensures Inspect Point will rely on QuickBooks to calculate tax.
📄 Creating an Invoice in Inspect Point
When you create an invoice in Inspect Point:
- Add materials, services, and/or line items
- Save the invoice
- Once saved, click 'Send to QBO'
Inspect Point will:
- Automatically calculate tax using QuickBooks' Automated Sales Tax
- Apply the correct tax rate
- Display the tax total on the invoice
The tax rate is not determined by settings inside Inspect Point — it is calculated by QuickBooks.
👀 What You'll See in Inspect Point
Once the invoice has been created, you will see:
- Line item subtotal
- Calculated tax
- Final total
The math will reflect the Automated Sales Tax rate from QuickBooks.
💼 What You'll See in QuickBooks Online
When viewing the invoice inside QuickBooks Online:
- The same tax rate will appear
- The same tax amount will be calculated
- The math will match the invoice created in Inspect Point
QuickBooks may not display the tax breakdown (for example, showing the specific percentage such as 8.7% and how it was calculated).
⚠️ Important Notes
- Inspect Point is not able to help with your QuickBooks account/settings.
- Inspect Point does not calculate tax when Automatic Sales Tax is enabled.
- Tax is based entirely on QuickBooks' location-based automation.
- Invoice totals will remain consistent between both systems.
- Any tax display formatting on the QBO side, such as detailed rate breakdowns, is managed within your QuickBooks account, not Inspect Point.
If you experience discrepancies in tax calculations, verify:
- The customer is configured correctly in QuickBooks
- The Use Automatic Sales Tax toggle is enabled in Inspect Point
- The building is properly linked to the QuickBooks customer
