Deficiency report notes are optional subtext that appear in deficiency sections of reports. This article will cover the process of adding new deficiency report notes in the backend and how they’re displayed on the reports.
Adding Deficiency Report Notes
First, navigate to Settings → Inspections → Deficiency Report Notes.
Second, click “+ New” at the top right of the screen.
Next, choose a category to associate this note with. The “General” category will display at the beginning of the deficiency section on the report, while the other categories will display in the section unique to that inspection item.
Once a category has been selected, enter the note in the text field below.
When the text has been entered, click Save to save this note. It will now appear in the listing screen along with any other notes that have been entered.
Note: Only one deficiency note at a time per category can be active. Trying to add more than one will result in this error message:
To edit existing categories, click the orange pencil icon on the listing screen next to the desired note.
Viewing Notes on the Report
Once added in the backend, these deficiency notes will automatically appear on the report. In our example below, a note was added under the Fire Alarm category in the backend, which is then displayed in the Fire Alarm section on the report.
Additional notes will appear in their corresponding sections on the report, should any deficiencies be found for that category.
