Step Three: Import QuickBooks Desktop Customers
Now that you have uploaded the QWC file into QuickBooks Desktop, you can proceed with importing your QBD customers or jobs.
Importing or syncing your QuickBooks Desktop customers or jobs is necessary for the integration to work. Invoices will only sync to QuickBooks Desktop when they are associated with an account or building that has been imported from QuickBooks Desktop.
If you want to add a customer/job that exists in QBD but not in Inspect Point, your next step will be to import customers/jobs into Inspect Point. If you already have accounts/buildings in Inspect Point and want to sync those to a customer/job in QBD, skip ahead to those directions.
Importing Customers
First, we recommend you ensure your customer profiles are updated on the QBD side before importing them into Inspect Point.
When you are ready to import your customers, you can choose to import them as an account or building. Whether to import them as accounts or buildings is up to you – if they are added as accounts, you can associate buildings (either pre-existing in Inspect Point, or imported from QBD) to that account.
To proceed with the import, click into either Accounts or Buildings (depending on what you want to import your customers as) and then click “Import from QuickBooks Desktop.”
Then click “Refresh from QuickBooks Desktop” to update the list of available customers to import:
Select the customers you would like to import, then click “Import from QuickBooks Desktop.”
Here is the customer information that pulls in from QBD:
Account sync:

Company name
- If a company name does not exist, we will use the associated customer name
- Billing address
Building sync:
-
Company name
- If a company name does not exist, we will use the associated customer name
- Billing address
-
Physical address
- If a physical address does not exist, we will use billing address
-
Contacts
- Name, email, cell phone and address
- Assigned the “billing” role
Syncing Customers
Click into the account and building you’d like to sync to a customer in Inspect Point.
Then, find the QuickBook Status section and click Link QuickBooks Customer:
A dropdown will appear in which you can select the QuickBooks customer to link to.
The dropdown will show the following information:
- Company name, if present (if not, customer name will appear)
- Billing address lines 1 and 2, if present
- Physical address line 1, if present
Currently, making changes to an account/building in Inspect Point will not update the customer’s profile in QBD. And, any changes made in QBD to a customer that has already been imported into Inspect Point will not be reflected on the Inspect Point side. This is why we recommend you update customer profiles before importing them. However, you can of course make changes on the Inspect Point side once they have been imported.
Once customers are imported as accounts/buildings, you will see the QuickBooks icon in the account/building list indicating that the account/building has been imported from QBD:
