π Overview
Inspect Point offers additional permissions that allow Super Users to manage backend users and technicians without requiring Admin access. These permissions can be enabled independently, giving your team more flexibility in managing users and territories.
There are three available settings:
- Manage Backend Users: Allows Super Users to create, edit, and manage backend users within their assigned territories.
- Manage Technicians: Allows Super Users to create, edit, and manage technicians within their assigned territories.
- Allow Assigning Any Territory to a Building: A company-level setting that allows territory-restricted users to assign buildings to territories outside their assigned access.
Important: All three settings are disabled by default. Existing permissions and workflows remain unchanged until an Admin enables them.
β Before You Start
The Manage Backend Users and Manage Technicians permissions have the following requirements:
- Super User Role: These permissions are only available to users assigned the Super User role. The permission checkboxes will not appear for other roles.
- Admin-Only Configuration: Your company must have the setting that restricts configuration access to Admins enabled. Otherwise, these permission options will not appear.
- Independent Permissions: Each permission can be enabled separately. A Super User can be granted access to manage backend users, technicians, or both.
π οΈ Granting Permissions to Super Users
Only users with the Admin role can grant these permissions.
- Navigate to Settings β User Management β Backend Users.
- Open an existing user or create a new one.
- Set the user's role to Super User if not already set.
- Under Permissions, select one or both of the following:
- Manage Backend Users
- Manage Technicians
- Click Save.
Once saved, the Super User can access the applicable management options from Settings.
β οΈ Changing a Super User's Role
If a Super User is changed to another role, their Manage Backend Users and Manage Technicians permissions will no longer apply.
However, the permission selections remain saved on the user's account. If their role is changed back to Super User, those permissions will become active again.
Important: To permanently revoke these permissions, uncheck them before changing the user's role.
π₯ Manage Backend Users Permission
When Manage Backend Users is enabled, a Super User can navigate to Settings β User Management β Backend Users to manage users within their assigned territories.
This permission allows Super Users to:
- Create new backend users with a role equal to or lower than their own.
- Edit or deactivate existing users.
- Resend user invitations and update passwords.
- Modify territory assignments for other users.
Restrictions & Additional Information:
- Super Users cannot create, edit, or manage Admin users.
- Super Users cannot modify their own territory assignments.
- Territory-restricted Super Users can only assign territories they have access to when creating users.
- If a Super User has access to multiple territories, they must select a territory when creating a user. If they have access to only one, it is automatically selected.
- New user invitations are sent using the same process as invitations created by Admins.
π· Manage Technicians Permission
When Manage Technicians is enabled, a Super User can navigate to Settings β User Management β Technicians to manage technicians within their assigned territories.
This permission allows Super Users to:
- Create new technician accounts.
- Edit existing technician information.
- Set or update technician passwords.
- Mark technicians as inactive.
- Modify technician territory assignments through the Territory Access section.
Restrictions & Additional Information:
- Territory-restricted Super Users can only view and manage technicians within their assigned territories.
- When creating a technician, territory-restricted Super Users must select from territories they have access to.
- Technician license limits still apply. If the account reaches its technician limit, Super Users receive the same notification as Admins.
πΊοΈ Allow Assigning Any Territory to a Building
By default, users with restricted territory access can only assign buildings to territories they have permission to access.
The Allow Assigning Any Territory to a Building setting gives these users the ability to assign a building to any existing territory within the company, even if they do not have access to that territory.
This can be useful for companies with multiple offices or territories where users may need to create or update buildings managed by another location.
Enabling the Setting
- Navigate to Company Settings β Miscellaneous β Territories.
- Locate Allow Assigning Any Territory to a Building.
- Enable the setting.
- Save your changes.
This option is located alongside the Require Territory on Building Creation setting.
How Territory Assignment Works
Once enabled:
- The Primary Territory and Additional Territories fields on the building creation and editing screens display all available company territories.
- Territories designated as Additional Territory Only will continue to be excluded from the Primary Territory dropdown.
- Users with access to only one territory will still have that territory automatically selected when creating a building.
- When a territory is selected as the Primary Territory, it is removed from the Additional Territories options to prevent duplicate assignments.
- Users can assign existing territories to buildings, but only Admins can create new territories.
π Building Visibility & Territory Access
A territory-restricted user can view a building when at least one of their assigned territories is listed as either the building's Primary Territory or an Additional Territory.
If a building is assigned exclusively to territories they do not have access to, the building will no longer appear in their building lists after saving.
To help prevent this, Inspect Point displays a warning banner when a user selects territories that would cause them to lose access to the building.
Warning Message:
"You will not be able to see this building unless you add a territory you do have access to."
How the Warning Works:
- The warning appears when the building does not have any territories the user can access.
- The warning disappears once one of the user's assigned territories is added as the Primary Territory or an Additional Territory.
