Company & Technician Licensing Overview

📌 Overview

Inspect Point enables management of technician and company licensing details displayed on inspection reports. With this, the system automatically selects the license(s) relevant to a given report, based on the building's state and the inspection type. 

Licenses are configured at two levels: 

• Company Licensing — Licenses managed within your account settings
• Technicians — Individual licenses assigned to technicians

The building's state used for this matching is determined automatically (from the building's address) — it isn't something you set license-by-license. If a building's state can't be determined, matching falls back to showing everything on file rather than guessing (see Report License Selection below).

🏢 Company Licensing

Company licenses are managed centrally within account settings, at two levels:

• General Company Licenses - General licenses apply across all states, unless a state-specific license is configured. General licenses are not associated with state, inspection type, or expiration date. 
• State Company Licenses - State licenses allow your company to maintain licensing information specific to individual states. Each state license includes state, inspection type (optional), and license number. If no inspection type is selected, the license applies to every inspection type performed within that state. State company licenses also don't carry an expiration date.

For each state, you can configure whether reports display the state license alone, or the state license together with the general company license.

Example

If New Jersey is configured to show "state + general," a sprinkler report for a New Jersey building shows both NJ-CO-1001 and GC-00001. 

If Pennsylvania is configured to show "state only," a report there shows PA-CO-2002 alone. A report for a state with no company license configured (say, Texas) falls back to the general license, GC-00001.

🧑‍💼 Technician Licensing

Individual technician profiles store multiple licenses, each with a state, a license number, and optional expiration date and inspection type. When no inspection type is specified, the license applies to all inspection types within that state.

Example

A sprinkler inspection at a New Jersey building prints NJ-12345 only — not the New Jersey fire alarm license or the Pennsylvania license.

⚙️ Report License Selection

Reports automatically match licenses based on the building's state and the inspection type. Matching credentials can appear in the report header, executive summary, cover page, and NFPA-72 qualifications block.

Technician Licenses:

• Technician licenses display only when they match both the building's state and the inspection type; a license with no inspection type set matches any type in that state. 
• Expired technician licenses are excluded automatically. If the building's state is known but none of the technician's licenses match it, no technician license is printed, the report will not fall back to a license from a different state.

Company Licenses:

• Company licenses follow the same state-and-type matching, with a fallback chain:
  • A license matching the building's state and inspection type prints first; if none exists, a state-wide company license (no type set) prints instead. 
  • If the state is configured to show both, the general company license also prints alongside whichever state license matched. 
  • If the state has no company license configured at all, the general company license prints on its own.

💡 Additional Information & Troubleshooting 

When Building State Cannot Be Determined - If the building's state can't be determined, If the building has no state assigned, all credentials display and the filtered matching does not activate.

Multi-Technician Reports - Multi-technician inspections are not currently supported. If an inspection has more than one technician assigned, the license block does not render at all.

The Matching is Automatic - There is no report-level override. You cannot manually choose which license appears on a specific report. The selection is driven entirely by the building's state, the inspection's system type, and the license records on file.
