🏷️ OverviewÂ
Applies to: Company Settings → Tags
The Tags settings page provides tools to update and clean up existing tags across your Inspect Point account. From this page, you can rename a tag, remove it from a specific record type, or delete it entirely.
Each action affects tags differently:
- Rename — Changes the tag name everywhere the tag is currently used.
- Remove from record type — Removes the tag from all records of a selected type while keeping it in use elsewhere.
- Delete everywhere — Permanently removes the tag and all of its uses across your account.
Before making a change, Inspect Point displays the number of records that will be affected so you can review the impact before confirming.
✏️ Rename a Tag
Renaming a tag updates its name everywhere it is currently used. This is helpful for correcting typos, updating terminology, or keeping tag naming consistent across your account.
Note: Renaming a tag is a global change. The new name applies across all record types where the tag is currently used.
Rename a Tag:Â
Step 1 — Locate the tag
Go to Company Settings → Tags and locate the tag you want to rename. You can use the search field, sorting, or filters to find it.
Review the usage counts to confirm you've selected the correct tag.
Step 2 — Open the Actions menu
Open the Actions menu for the tag, the current tag name will appear in the Name field.
Step 3 — Enter the new name
Enter the new name you'd like to use for the tag.
Step 4 — Review and Save
Once renamed, click Save. The tag name is updated everywhere that tag is currently used.
đź”— Remove a Tag from a Record Type
If a tag should no longer be used on a particular record type, you can remove it from that record type without affecting its use elsewhere.
For example, if the National tag is used on both Inspections and Work Orders but should only be used on Inspections, you can remove it from Work Orders while leaving the Inspection records unchanged.
Important: Removing a tag from a record type removes it from all records of that type. You cannot select individual records to remove the tag from using the Tags settings page.
Remove a Tag from a Record Type:Â
Step 1 — Locate the tag
From Company Settings → Tags, locate the tag you want to update.
Review the usage columns to see which record types currently use the tag and how many records are associated with each.
Step 2 — Open the Actions menu
Open the Actions menu for the tag you want to manage. Under Where this tag is used, you’ll see each record type where the tag is currently in use, along with the number of records it is applied to.
Step 3 — Remove the tag from a record type
Locate the record type you want to remove the tag from, then select the unlink icon next to it.
Only record types where the tag is currently in use will appear under Where this tag is used.
Step 4 — Confirm the removal
Review the confirmation message, then confirm the removal.Â
The tag will be removed from all records of the selected type while remaining in place on any other record types where it is currently used.
If this removes the tag's final uses, its Total usage count will become 0. The tag itself will remain available until it is deleted.
🗑️ Delete a Tag
When a tag is no longer needed, you can permanently delete it from your Inspect Point account.
Deleting a tag removes the tag from all records and record types where it is currently used. It does not delete or otherwise change the records themselves.
⚠️ Deleting a tag cannot be undone. If the tag is currently in use, it will be permanently removed from every associated record.
Delete a Tag:
Step 1 — Locate the tag
From Company Settings → Tags, locate the tag you want to delete.
Review the Total and record-type usage counts to understand where the tag is currently being used.
If you're cleaning up tags that are no longer in use, toggle Unused only to quickly find tags with a Total usage count of 0.
Step 2 — Select Delete everywhere
Open the Actions menu for the tag and select Delete everywhere.
Step 3 — Review the confirmation
Before the tag is deleted, review the confirmation message. It will identify the tag and show the total number of records from which it will be removed.
If the tag has a Total count of 0, no records will be affected; only the unused tag itself will be removed.
Step 4 — Confirm the deletion
Confirm to permanently delete the tag.
The tag will be removed from your account and will no longer appear in the Tags table or tag selections throughout Inspect Point.
đź’ˇ Good to Know
- Review usage counts before making changes. The Tags table shows where each tag is being used, and confirmation dialogs display the number of records that will be affected.
- Removing and deleting are different. Use Remove from type when you want to stop using a tag on one record type but keep it elsewhere. Use Delete everywhere when the tag should no longer exist in your account.
- Removing a tag does not automatically delete it. If you remove its final uses and the Total count reaches 0, the tag remains in the Tags table until you delete it.
- Deleting a tag does not delete records. Inspections, Buildings, Work Orders, and other records remain intact; only the tag is removed.
- Removed or deleted tag assignments cannot be restored automatically. If you need the tag again, it must be recreated or reapplied to the appropriate records.
- Tags are managed one at a time. Bulk deletion is not currently available.
