Overview
The Tags settings page shows every metadata tag in your Inspect Point account in one table with usage counts broken out by record type. You can sort, search, and filter to quickly find the tags you want to act on, whether that's a misspelled tag, an unused tag cluttering your dropdown menus, or a tag applied to a record type by mistake.
The Tags settings page manages metadata tags, the labels applied to records like inspections and buildings. It is not related to Tag Colors (a separate feature for physical inspection tags).
🛠️ How to View/Search Tags
Step 1 — Open Tags Settings
From the backend, navigate to your backend settings screen: Settings → Company Settings → Tags
You'll see a table listing every metadata tag in your account. By default, the table is sorted by the Total column, listing the highest first, the tags used most across your account appear at the top.
Step 2 — Review the Usage Table
The table includes a column for each of the seven record types where tags can be applied, in addition to an Actions column, making it easy to see and manage your Tags.
A count of 0 in any column means that tag is not used on that record type. A count of 0 in the Total column means the tag is not used anywhere.
Step 3 — Configure the Table Columns
By default, the table displays usage columns for all available record types, along with the Total and Actions columns. You can customize the table to display only the columns you want to see.
Click the vertical ellipsis (⋮) in any column header to open the column settings. From here, uncheck any columns you want to hide, then click Apply to update the table.
To return to the default column configuration, select Restore defaults.
Step 4 — Sort by Column
Click any column header to sort by that column. This lets you, for example:
- Sort by Total (default) to see your most-used tags at the top
- Sort by Building to see which tags your buildings team uses most
Click the same column header again to reverse the sort order.
Step 5 — Filter as Needed

Tag Name - Use the search field to find a specific tag by name.
- The search filters the list as you type. It composes with any active filters — if you've also applied a record-type filter or the unused-only filter, the search narrows within those results.
- Record Type - Use the record type filter to show only tags that are applied to a specific record type. For example, filtering to Building shows only tags that appear on at least one building record.
- Unused Only - Toggle to show only tags with a Total count of 0 — tags that exist in your account but are not applied to any record. These are candidates for deletion if you no longer need them.
Step 6 — Take Action
The Actions column provides options to manage each tag, including renaming the tag, removing it from a specific record type, or deleting it entirely.
💡 Tips
- Start with the Unused only filter for your first audit. These tags are attached to nothing and show up in your team's filter drop downs for no reason — they're the lowest-risk candidates to delete.
- Filters compose. You can search by name, filter by record type, and toggle Unused only at the same time. Use combinations to narrow the list precisely.
- Sort before you filter to get a sense of the full landscape first. Sorting by Total descending (the default) shows you where your tags are most concentrated before you start narrowing.
- The table doesn't show individual records — just counts. If you want to see which specific records use a tag, you can use that tag as a filter in the relevant record area (e.g., filter Inspections by tag name).
