⚙️ Work Order Statuses
Work Order Statuses help you track where a service job stands in your workflow — from creation through completion.
When a Work Order is created, it includes both the Work Order itself and the associated Visit.
Each Visit is scheduled to a technician (similar to an inspection), while the Work Order status reflects the overall progress of that job.
🧩 How Work Order Statuses Work
- When a Work Order is first created, its status is Open.
- When the technician submits the Visit back to the office, the status automatically updates to Waiting for Review, or, if the technician indicates that a Follow-Up is Required, the status changes to Requires Follow-Up.
- Users can also create custom statuses to match their own workflow.
- For example, you might add a status like “Parts Ordered” for jobs that are waiting on materials before completion.
🏷️ Built-In Work Order Statuses
| Status | Description |
|---|---|
| Open | Work Order is ready to be serviced. |
| Waiting for Review | All visits are complete and pending office review. |
| Requires Follow-Up | One or more visits require additional service. |
| Closed | Work is complete and paperwork can be generated. |
| Cancelled | Work Order has been cancelled. |
➕ Create a New Work Order Status
- Go to Settings → Service → Work Order Statuses
- Click + New Work Order Status
- Enter a Name and an optional Description
- Click Save
✏️ Edit a User-Added Status
- Go to Settings → Service → Work Order Statuses
- Click Edit next to the user-added status
- Adjust the Name and/or Description
- Click Update
🔁 Change a Work Order’s Status
You can update a Work Order’s status from either the Work Orders tab or the Work Order detail screen.
Option 1 — From the Work Order Detail Screen
- Go to the Work Orders tab
- Click the Work Order #
- Click Update Status
- Choose the new status from the dropdown
- Click Update
Option 2 — Bulk Update from the Work Orders Tab
- In the Work Orders tab, check one or more boxes on the left
- Click Update Status
- Select the new status
- Click Update
