Once your subcontractors have been added, you can assign work orders directly to them from the backend. This can be done either while creating a work order or after a work order already exists.
Assigning a subcontractor sends them an email notification with job details and instructions for uploading their completed documentation through either the Technician (Subcontractor) Portal or an Easy Upload link, depending on their setup.
⚙️ Where to Find It
You can assign subcontractors from multiple locations in Inspect Point:
- Buildings → Work Orders Tab → + New Work Order
- Work Orders → + New WO from the main navigation bar
- Existing Work Orders via the Edit screen
- Calendar View
- Schedule & Dispatch Tab
🆕 Assigning a Subcontractor When Creating a Work Order
- From either:
- The Work Orders tab within a building, or
- The main Work Orders navigation tab → click + New WO
- Fill out all work order details as usual (e.g., type, service and problem description, etc.)
- Under the Schedule Visit section, click Edit
- In the scheduling modal, under Who will perform this work order, select Subcontractor
- Choose the subcontractor company from the Subcontractor dropdown list
- Adjust or confirm scheduling details such as:
- Date and Time
- Visit Duration and Notes
- Priority
- Click Save
- Finishing going through the work order creation and Save on the work order to finalize
Once saved, the subcontractor will receive an email notification with the assigned work order details and and their upload link or portal login prompt, depending on how they were invited.
🧾 Assigning a Subcontractor to an Existing Work Order
You can also assign a subcontractor to work orders that already exist.
🔹 From the Work Order Detail Screen:
- Go to the Work Orders tab in the main navigation
- Locate the work order you’d like to assign and click the Edit icon on the right
- Scroll to the Schedule Visit section
- Click Edit on the visit
- In Who will perform this work order, select Subcontractor
- Choose the subcontractor from the dropdown list
- Review and update the visit details if needed, then click Update
The subcontractor will immediately receive an email notification of the assignment.
🔹 Assigning a Subcontractor from the Calendar:
- Go to the Calendar view
- Locate the work order you want to assign
- Click the work order to open the quick-edit modal
- Under Who will perform this work order, select Subcontractor
- Choose the subcontractor company from the dropdown
- Click Save to confirm
🔹 Assigning a Subcontractor from Schedule & Dispatch:
- Go to the Schedule & Dispatch tab
- Locate the work order you want to assign
- Click on the work order to open the quick-edit modal
- Under Who will perform this work order, select Subcontractor
- Choose the subcontractor company from the dropdown list
- Click Save to confirm
This will update the calendar and notify the subcontractor just like any other assignment method.
📤 After Assignment
Once assigned, the subcontractor’s contact receives an email containing:
- The Work Order details (building, date, and time)
- A link to upload documentation through either:
- The Technician Portal (login required), or
- The Easy Upload link (no login required)
After completing their work, subcontractors upload their required documents (e.g., work order report, invoice, receipts) back to you. The files appear under the Documentation tab of the work order record for your review.
