Once your subcontractors have been added, you can assign inspections directly to them from the backend. This can be done either while creating the inspection or after an inspection already exists.
Assigning a subcontractor sends them an email notification with job details and instructions for uploading their completed documentation through either the Technician (Subcontractor) Portal or an Easy Upload link, depending on their setup.
⚙️ Where to Find It
You can assign subcontractors from:
- Buildings → Select Building → Building’s Inspections Tab → + New Inspection → During Creation
- Inspections → + New Inspection → Select Building → During Creation
- Inspection Detail Screen → Select Existing Inspection → Edit
- Visit Detail Screen from the Calendar and Schedule & Dispatch Screen → Click Visit → Assign Subcontractor
🆕 Assigning a Subcontractor When Creating an Inspection
- Click + New Inspection from a building's Inspections tab or from the Inspections tab on the navigation bar
- Complete the Scheduling Details
- Under Who will be performing the inspection, select Subcontractor
- In the Subcontractor Information section:
- Choose the subcontractor from the dropdown.
- Add any Notes to Subcontractor (e.g., “Complete alarm inspection and upload report when finished.”).
- Confirm or adjust the Inspection Status (Scheduled or Pending)
- Click Save
Once saved, the subcontractor will receive an email notification with job details and their upload link or portal login prompt, depending on how they were invited.
🧾 Assigning a Subcontractor to an Existing Inspection
You can also assign a subcontractor after an inspection has already been created.
🔹 From the Inspection Detail Screen:
- Open the inspection that needs a subcontractor
- Click Edit
- Scroll to Who will be performing the inspection, and select Subcontractor
- In Subcontractor Information, choose the subcontractor from the dropdown
- Add Notes to Subcontractor, if applicable
- Click Save
- If the inspection is part of an Inspection Series, you will be prompted to select which inspections you'd like to update.
- If you only want to update the current inspection, select Update this inspection only
The subcontractor will be notified immediately, just as if the inspection were newly created.
🔹 From the Calendar
You can also assign a subcontractor directly from the Calendar view.
- Navigate to the Calendar
- Locate the inspection and click on the inspection to open the quick-edit modal
- In the Who will perform this inspection section, select Subcontractor
- Choose the subcontractor company from the dropdown
- Save your changes
🔹 Schedule & Dispatch
You can also assign a subcontractor directly from the Schedule & Dispatch tab.
- Navigate to the Schedule & Dispatch tab
- Locate the inspection and click on the inspection to open the quick-edit modal
- In the Who will perform this inspection section, select Subcontractor
- Choose the subcontractor company from the dropdown
- Save your changes
The subcontractor will receive their email notification and can proceed to upload the required documentation once the job is complete.
📤 What Happens After Assignment
Once assigned, the subcontractor’s contact will receive an email containing:
- The Building name and address
- The Scheduled date and time
- A link to either log in to the Technician Portal or upload documents via Easy Upload
💡 Reminder: The subcontractor’s upload method depends on how they were invited:
- Technician Portal (Login Required) – Subcontractor logs in to view their calendar and upload documents.
- Easy Upload (No Login) – Subcontractor uploads documents directly from the link provided.
The subcontractor performs the inspection using their own workflow and uploads all required documentation (e.g., inspection report, work order, invoice). These files appear in the Documentation tab of the inspection for you to review.
