🗂️ How to View and Manage Time Entries in the Backend
Once technicians begin logging time in the field, all time entries become visible and manageable in the backend. Office users can review, edit, delete, or export time as needed.
This article covers where to find time entries, how to manage them on individual jobs, and how to edit time entry rates at the account level.
Each Time Entry includes:
- Time Entry ID
- Technician name
- Time Entry Rate
- Activity Type (Work or Travel)
- Start Date/Time
- End Date/Time
- Duration
🔍 Viewing Time Entries on a Specific Inspection or Work Order
Each Inspection and Work Order includes a Time Entries section showing all logged time associated with that job.
How to Access Job-Level Time Entries
- Click on the Inspection ID or Work Order ID
- Scroll down to the Time Entries section
- Review the full list of entries
Actions Available
- ✏️ Edit: Click the pencil icon to modify the entry
- 🗑️ Delete: Click the trash icon to remove it
- ➕ Add New: Create a new time entry directly on the job
- 📥 Export: Download a .CSV of all time entries on that inspection or work order
📁 Viewing All Time Entries (Global View)
To see all time entries across all technicians and all jobs:
- Go to the Time Entries tab in the navigation menu
- You’ll see a list of every time entry in the system
Available Filters
- Technician / Tech Team
- Visit Type - Inspection, Service Visit, or Other
- Building
- Date Range
- Territory
Managing Entries
Entries can be managed on this screen. Click the ellipses (...) under the Action column:
- Click View to edit the entry
- Click Delete to remove it entirely
⚙️ Editing Time Entry Rate Details (Backend Settings)
If you need to edit details for a time entry rate (name, billing rate, activity type, etc.):
- Go to Settings > Company > Time Entry Rates
- Select Edit next to the rate you want to update
- Make your adjustments
- Click Update
Important:
Technicians must log out → log back in to sync any updated rate settings to the mobile app.
