⏱️ Time Entries Overview
Inspect Point’s Time Entry feature allows technicians to track the time they spend on Inspections and Work Orders, while giving office teams full visibility into logged time for reporting, billing, and labor management.
Technicians can clock in/out or manually enter time from the mobile app or Technician Portal, and office administrators can review, edit, and export time from the backend.
This overview explains what Time Entries are, how they work, and where to configure the settings before your team begins tracking time.
🔧 How Time Tracking Works
Before creating time entry rates, it’s helpful to understand the basics of how time is tracked and used in Inspect Point:

All tracked time uses a Time Entry Rate — Every time entry—regardless of how it’s logged—is tied to:
A Time Entry Rate
An Activity Type (Work, Travel, or Other)
A linked Job (Work Order or Inspection), except for “Other” entries

Technicians choose how they are logging time — Technicians can:
Clock In / Clock Out in real time on the mobile app
Add time manually on the mobile app or in the Technician Portal
Associate time with a job (travel/work) or log non-job time (other)

Time can be edited by office staff — If a technician’s time needs correction, backend users can edit entries from:
The Time Entries screen
The Inspection detail screen
The Work Order detail screen

Office teams can view, export, or bill time — You can review time entries:
Directly on the job
In the Time Entries tab (filterable by tech, activity, date, rate, etc.)
Through exports for payroll or billing workflows
⏳ Time Entry Rates
Backend → Settings > Company > Time Entry Rates
Time Entry Rates must be configured before technicians can log time. Once created, technicians must log out → log back in to sync new rates to the app.
Each rate includes:
- Name – Shown to techs and in reporting
- Cost Code (optional) – For accounting or ERP alignment
- Activity Type – Work or Travel
- Available For – Inspections, Work Orders (create duplicates if needed for both), and Other
- Billing Rate – Used for invoicing and reporting; not visible to techs
- Active / Inactive – Controls whether the rate appears to techs
⚙️ Service Settings
Backend → Settings → Service Settings
Here you decide whether Time Entries appear on Service Reports & Invoices.
- Enabled → Time entries will not appear on reports/invoices (useful if you bill via fixed-price service items).
- Disabled → Time entries will appear on reports/invoices for billing.
⌚ How Technicians Log Time
Technicians can log time in three ways:
Mobile App – Real-Time Tracking — Clock-in/out available on Inspections and Work Orders
Mobile App – Manual Entries — Add or edit time manually on any job
Technician Portal – Manual Time — Log time on scheduled jobs or using activity type Other
📊 How to Review & Manage Time Entries in the Backend
- Backend users can view time entries:
- On the detail screen of each job (inspection or work order)
- In the backend Time Entries tab
- From the backend, office teams can:
- Edit or correct technician logs
- Export time for billing, payroll, or reporting workflows
- Include time on service reports/invoices (if not excluded)
