This article provides a high-level overview of Inspect Point's AI Inspection Assistant—your behind the scenes partner that works to catch common inspection issues before reports reach your office.
We'll cover what the Inspection Assistant is, how it works, streamlined workflows for both backend users and mobile technicians, and a glimpse at upcoming enhancements as this feature continues to evolve.

đź“‹ What is Inspection Assistant?
Inspection Assistant is an AI-powered quality control tool that reviews inspections and flags any issues before they are submitted to the backed. It's your behind the scenes partner that works to catch common issues like:
- Unanswered questions
- Missing photos or signatures
- Poor grammar or profanity
- Shorthand that needs expanding
- Notes that don't make sense for what's being inspected
The key benefit: Instead of office staff spending hours correcting reports, Inspection Assistant catches issues while the tech is still on-site, reducing back-and-forth by 60-80%.
🚀 How It Works
When a technicians completes an inspection, instead of "Send to Office," they'll see "Send Inspection Assistant for Review". Once submitted to the AI Assistant, it automatically reviews the inspection data and flags anything that might need attention, including:
- Unanswered questions
- Grammar and style issues
- Missing information
Technicians are prompted to review flagged items, make corrections if needed, and then continue with submitting the inspection to the office.Â
Following submission, an Inspection Assistant tab appears on the Inspection Detail screen, providing an interaction timeline, as well as any unresolved issues flagged. Users can suggest corrections, send items back for technician updates, or dismiss them as appropriate.
Additionally, backend users can monitor the effectiveness of your AI assistant via the Inspection Assistant Insights Dashboard, which tracks how effectively the AI identifies issues, processing speed, and which problem areas occur most frequently.
📱 Technician Overview
The AI Inspection Assistant integrates seamlessly into the mobile technician experience with minimal disruption to existing workflows.
During Inspection: Enhanced Notes Button
The only visible change during an inspection is an "Enhanced Notes" button when adding deficiency notes. This optional feature allows technicians to quickly improve your deficiency notes while completing an inspection.
At Submission: Review Screen
When a technician completes an inspection, they'll see "Send to Inspection Assistant for Review" instead of "Send to Office." The inspection saves on their device, processes in the background (averaging 2-2.5 minutes), and then displays a review screen with any issues found. Technicians can fix, ignore, or leave issues. The "Send to Office" button will appear on the AI Review Screen.
Issue Categories
Technicians will encounter four main issue categories: Unanswered Questions, Missing Information (photos, notes, signatures, time entries), Writing Quality (with profanity requiring mandatory correction), and Historical Differences (recurring deficiencies).
Multi-Tech Inspections & Corrections
When multiple technicians work on one inspection, each sees only their own issues. When office staff sends corrections back, technicians are notified via email and can view issues in three locations: the Home page "IA Issues" card, the Schedule page (with issue counts), and the Jobs tab under Completed.
🖥️ Backend Overview
AI Settings Configuration
Once enabled, you'll see an Artificial Intelligence section in your backend settings (Backend Settings → Artificial Intelligence → AI Inspection Assistant Settings). Admin users can toggle the feature on, choose which inspection issues the AI should flag, and select which technicians the AI is available for.
Important: Once the feature is enabled for your instance by Inspect Point, it must be activated by an admin user in the backend. See our separate activation guide for detailed setup instructions.
Dashboard: Inspection Assistant Insights
Located in the backend (Analytic Reports → Dashboards → Inspection Assistant Insights) this dashboard provides key metrics including Total Existing Issues, Total Open Issues, Average Processing Time, Average Resubmissions, and Top Issue Categories—helping you identify patterns and training needs.
Inspection Assistant Tab
Following submission, an Inspection Assistant tab appears on the Inspection Detail screen, providing an interaction timeline, as well as any unresolved issues flagged. Users can suggest corrections, send items back for technician updates, or dismiss them as appropriate.
Review Screen & Office Actions
The review screen displays issue cards with tags (Resolved, Dismissed by Tech, Skipped, Dismissed by Office, Suggested, High Impact) and defaults to showing only unresolved issues. Office users can suggest corrections for individual issues or all issues at once, undo resolved items, or dismiss issues they're comfortable with.
Completing Review
When satisfied with an inspection, users will click "Complete Review Process," optionally change the Inspection status, and all AI review buttons lock (reactivating only if the tech resubmits).
🔍 Understanding What IA Checks
Inspection Assistant currently reviews key areas:
- Unanswered Questions - Flags questions left blank on inspections
- Missing Information - Catches missing deficiency photos, notes, signatures, and time entries
- Writing Quality - Corrects grammar, spelling, profanity, shorthand (110-115 abbreviations), provides translation, and checks relevancy
- Historical Deficiency Intelligence - Identifies unclosed deficiencies and offers auto-close options

We’re continuing to enhance the AI Inspection Assistant to provide deeper visibility, improved review tools, and a smoother workflow between the field and office. Features to look out for:Â
- Out-of-Spec Value Detection - Compares historical answers, applies code-based acceptable ranges, and performs quartile analysis
- Pump Curve Validation - Cross-references readings against expected values
- Back Office Warnings - Time/speed checks, proximity alerts, and recurring deficiency tracking (not shown to techs)
As we refine our machine learning models and expand detection capabilities, you'll see smarter, more context-aware suggestions that learn from your company's historical data.
