ℹ️ General Information
Inviting a contact to the Customer Portal allows them to view published documents in one central location. Publishable documents include:
- Inspection & Service Reports
- Proposals
- Invoices
- Attachments
✉️ Invitation Methods
Contacts can be invited a few ways:
- When creating a New Contact
- This can be done automatically or when manually creating a contact
- Through the Edit Contact screen
- Bulk Invite
❗Important:
- The feature must be enabled before any invitations can be sent.
- A customer must be invited to the portal and associated with an account or building in order to see the published documents.
🆕 Inviting a New Contact to the Customer Portal
Contacts can be invited to the portal as they are created.
- Go to + New Contact
- At the bottom of the screen, check Invite to Customer Portal
- Additional Customer Portal Access options will appear —
✨ Automatically Inviting All New Contacts
If you prefer the system to invite contacts automatically:
- Navigate to Backend Settings > Company > Customer Portal Settings
- Toggle Invite new contacts to Customer Portal
When enabled, every new contact created with an email address will receive an invite automatically. Leave this toggle off if you prefer to invite contacts manually.
📨 Inviting Existing Contacts to the Customer Portal
From the Contacts tab, select the contact's name to open the Contact Detail screen:

- Next to the Customer Portal Status, click Invite to Customer Portal

- Edit the Contact
- Scroll to the Customer Portal Status section and check the Invite option
- Save
The contact will receive an invitation email prompting them to register for the portal.
📦 Bulk Inviting Contacts
You can bulk invite contacts directly from the Contacts tab.
From the Contacts tab:
- Use the available filters — for example, set Status = Not Invited, or filter by Account, Building, or use the Search bar to narrow your list.
- Select the contacts you want to invite by checking the boxes to the left of their names.
- You can also use Select All if you want to invite everyone in the filtered view.
- Once your contacts are selected, click Send Invite to send Customer Portal invitations.
The selected contacts will receive an invitation email prompting them to register for the portal.
