Invoices in Inspect Point allow you to bill for inspections, service work, proposals, and other one-off charges directly from the backendโor, if enabled, technicians can create invoices in the field.
Whether you're converting completed work into a billable document, generating recurring invoices, or sending one-off invoices, the invoicing feature centralizes your billing workflow.
๐ ๏ธ What You Can Do With Invoices
Invoices in Inspect Point come with a full suite of tools to help you bill efficiently, stay organized, and automate your workflow.
- Create Invoices โ Create one-off invoices, or generate from an inspection, proposal or work order.
- Configure Invoice Settings & Categories โ Set up default invoice behavior, tax settings, invoice numbering, payment terms, and invoice categories to keep your billing consistent and organized.
- Create Recurring Invoices โ Set up automated recurring invoices for ongoing service agreements or recurring inspection billing. These generate on the schedule you configure (monthly, quarterly, annual, etc.).
- Automate Status Updates for Inspections & Work Orders โ When enabled, Inspect Point can automatically update linked records to keep your workflow in sync without manual updates.
- When an invoice is created โ Inspection/Work Order status changes to โInvoiced.โ
- When the invoice is paid โ Status updates to โPaid.โ
- Access Invoice Reporting & Insights โ Use the Invoice Insights Dashboard to review total invoiced amounts, due balances, technician activity, paid invoice history, and monthly trends.
- Send Invoice Reminders โ Automatically remind customers about unpaid invoices. Invoice reminders help reduce aging receivables and ensure customers stay updated on outstanding balances.
- Create Invoices in the Field โ If enabled, technicians can create invoices directly from the mobile app.
๐ค Who Uses Invoices?
Invoices are primarily created and managed by backend office staff responsible for:
- Billing and Accounts Receivable
- Reviewing completed inspections or work orders
- Sending invoices to customers
- Managing outstanding balances
However, technicians can create invoices in the field if desired. This is an optional admin-controlled setting in Inspect Point.

โ๏ธ How Invoices Work in Inspect Point
Invoices can be created in several ways depending on your workflow. Each method connects different parts of the system to streamline your billing process.
Convert an Inspection to an Invoice
After an inspection is completed and reviewed, you can convert it into an invoice.
Convert a Proposal to an Invoice
Once a proposal is accepted, it can be converted to an invoice.
This is commonly used for quoted repairs or pre-approved work.
Convert a Work Order to an Invoice
When a work order is completed and reviewed, you can generate an invoice directly from it.
This typically includes labor, parts, materials, and time entries logged during the work.
Create a One-Off Invoice
From the Invoice tab, you can create a standalone invoice not tied to an inspection, proposal, or work order.
Recurring Invoices
Inspect Point supports recurring invoices for ongoing service contracts or recurring inspections.
Invoices can be generated automatically based on your configured schedule (monthly, annual, etc.).
๐ How Invoices Connect to the Rest of Inspect Point
Invoices are the final step in the service and inspection workflow, tying together multiple areas of the platform:
Inspection โ Proposal โ Work Order โ Invoice
Deficiencies flagged during an inspection can be linked to a proposal โ accepted proposal becomes a work order โ completed work order becomes an invoice.
Inspection โ Invoice
Bill for recurring inspection work immediately after review.
Proposal โ Invoice
Approved quotes can be billed regardless of field work.
Work Order โ Invoice
Service work can be billed as soon as itโs completed and reviewed.
All invoices appear in the Invoices tab, where you can filter, view, send, and manage billing statuses.
