🧾 Invoice Settings Overview
Default invoice information is managed in the Invoice/Payment Settings section of the backend. These settings control what appears on all invoices by default, including your messaging, numbering, terms, and optional behaviors like attaching PDFs or enabling recurring invoices.
You can override any of this information at the individual invoice level if needed.
⚙️ Accessing Invoice Settings
To access and set your default invoice information:
- Click the Settings tab in the backend
- Navigate to Invoice/Payment Settings
- Select Invoice Settings
You’ll see three sections: General, Address Information, and Email Template
📝 General Settings
These fields control the content and behavior of invoices across your instance:
- Note - Appears near the bottom of the invoice.
- Message - Displays on the invoice
- Prefix - Displays before all invoice numbers
- Minimum Invoice Number - Sets the starting point for automatic invoice numbering.
- Default Term - Sets the default payment term (e.g., NET 30) used when generating new invoices.
Optional Invoice Behaviors - Toggle the features you want enabled:
- Require Invoice Category
- Display Inspection Reports on Invoices
- Display Service Reports on Invoices
- Attach Invoice PDF to Invoice Emails - When on, "Attach PDF" checkbox will be checked automatically when sending invoice emails
- Automated Invoiced & Paid Status Updates - Inspection or work order status updates automatically when an invoice is created (“Invoiced”) or paid (“Paid”).

🏢 Address Information
Information entered here overrides the company-level address settings and appears on invoices:
✉️ Invoice Email Template
Customize the email when an invoice is sent to a customer.
Use interpolation fields to automatically insert key information:
{{ recipient }}{{ company_name }}{{ invoice_number }}{{ invoice_total }}{{ due_date }}
You can always reset this section to the default template if needed.
